Until now, it was possible with bexio and the «bexio Go» app to automatically read QR invoices and create supplier invoices with the correct content. This function has now been supplemented by «Scan2Go»: an intelligent receipt readout that also allows you to automatically process receipts without a QR code.
Did you know? The position of CPO ( Chief Product Officer) is of big, strategic importance within bexio. He is responsible for the product, i.e. for the business software bexio. Together with his team, our CPO designs and adjusts the expansion and further development of our business software under the increasingly complex requirements within the framework of digitalization and the changing framework conditions.
What is the bexio purchasing area?
Our purchasing area is the central tool for efficient expense management: here you can process your expenses quickly and professionally. For maximum efficiency and the avoidance of sources of error, the correct processing of receipts, vouchers and QR invoices is particularly relevant. In this context, our bexio Go app plays an important role, as you can use your smartphone to scan in and process your receipts and QR invoices very easily, uncomplicatedly and regardless of location.
What functions were available so far for the automatic processing of expenses?
Previously, it was possible to upload QR invoices in the bexio web app, read them automatically and create supplier invoices with the correct content from them. In addition, receipts without QR could be scanned with the app and sent to the bexio inbox. As a result, manual further processing was necessary. With the intelligent receipt readout «Scan2Go», receipts and vouchers without QR codes can now be read out automatically – directly in the mobile app «bexio Go».
How does intelligent receipt processing work?
In accounting, the principle prevails: no booking without a receipt. That's why it's especially important to process receipts as promptly as possible – because that way no receipts are lost. For us, mobile processing of receipts was therefore a high priority. Vouchers and receipts without a QR code can be read directly in our mobile app «bexio Go». Choose between an expense or supplier invoice* and our new, intelligent voucher readout «Scan2Go» will automatically suggest information such as date, amount and tax rate. After you have checked the information, you can release the posting. For example, if you receive a receipt at a gas station, scan it directly into bexio Go and create an expense.
*Expenses can be posted as expenses or vendor invoices. The difference: expenses are expenses that have been paid directly, such as a cash register receipt. Vendor invoices are expenses that you pay at a later date.
Why is the document selection «intelligent»?
The system in the background «learns» from previous expenses and vendor invoices. So it gets better and better over time and makes it easier for our customers to manually enter relevant accounting information.
I only have a few expenses. Should I still use the purchasing area?
I definitely advise you to do so. Why? With streamlined workflows and input screens for many customers, it is easiest and clearest to enter all expenses in the purchasing area. Most importantly, don't forget any expenses. So process all receipts promptly, even if they are only small amounts at a time.
Any other tips for efficient use of purchasing?
For the best possible use, it is advisable to connect your e-banking to bexio. This way, payment orders from supplier invoices are automatically transferred to the bexio banking module. From there, the payment will be securely transmitted to your e-banking. Once the payment has been approved, it will be executed by the bank.
